You will take care of traditional administrative tasks, as well as more marketing-oriented tasks and, in doing so, work collectively with the team and support them to reach our local, international and corporate goals. You will report directly to the Marketing Manager, working closely with the rest of the team to maintain the company's brand, deliver our messaging, achieve our objectives, and ensure the department's high standards.Responsibilities:Take calls and messages.Manage calendars, set up meetings for the team and manage their travel schedulesManage admin of our project work toolsManage inventories, filing and keep good working order at the Marketing deskEnsure documentation (physical and electronic) is up-to-date, relevant, and well organisedEnsure all department databases are kept up-to-date and correct (distribution lists, contacts, and client databases …)Carry out preliminary marketing researchLiaise with the admin centre for all expense and travel arrangementsMaintain our intranet page and shared foldersBe the first port-of-call for some vendors (promo items, designers and stationery providers)Source and maintain good ongoing relationships with third-party vendors Manage invoices, keeping track of the marketing expenses and maintaining a good working relationship with the finance department for regular check-ins.Help draft and post small social media updates, e-communications, and web entriesAssist in the organisation of internal and external events - virtual and in person - managing registrations, delegate lists and information, badges, supporting audio visuals etc.Assist in some marketing material production and its distribution.
